Keith Andrews Trucks has adopted Nintex's automation platform to streamline onboarding, training, and health and safety reporting across its operations in New Zealand.

Late in 2023, Keith Andrews Trucks acquired three additional branches throughout New Zealand, which required the company to onboard around 65 new staff members at once. The influx put pressure on existing manual processes and sparked a search for more efficient ways to handle compliance, induction, and administrative workload.

Rapid onboarding

Colleen Houlker, Group Manager Business Optimisation at Keith Andrews Trucks, explained the challenge: "When you're bringing on one person, it's quite easy to manage, but we had to onboard around 65 staff all at once across multiple new branches – this would have been chaotic using our old manual processes."

"We had several legacy systems, so Nintex automation helped us make the most gains. Across HR specifically, we created a tailored, automated induction experience complete with standardised documentation and triggered digital contract signing – significantly lightening the admin load for our HR team. It turned what could have been a massive headache into a smooth process."

The implementation of Nintex's automation platform has enabled Keith Andrews Trucks to digitise and standardise their onboarding workflow. Digital contract signing and automated documentation are now central to the induction process, reportedly resulting in increased efficiency for human resources staff handling significant recruitment efforts following business expansion.

Beyond onboarding

The use of automation is extending into wider business functions. Processes such as mapping, improvements tracking, workflow automation and document generation now make greater use of Nintex tools, according to the company. Health and safety procedures are being managed with automated observation forms, providing a structured mechanism for compliance and internal reporting.

Keith Andrews Trucks' approach reflects a shift towards digitised business operations within the commercial vehicle dealership sector. As part of the digital transformation, customer interactions have also been integrated into the automation platform.

Customer feedback

The company is using Nintex to collect and respond to customer feedback through a range of touchpoints, including QR codes placed in truck cabs and follow-up emails post service. This system centralises compliments and complaints, allowing the company to monitor service quality and respond at a national scale.

One of the objectives behind the shift to an all-in-one automation platform is to reduce dependency on multiple legacy systems and external vendors while providing a unified approach to process improvement.

"We wanted one partner who could do it all – process mapping, automation, document generation, etc. – we found that with Nintex. Now we have a complete toolkit to map, manage, and optimise our processes in one place. It saves us juggling multiple vendors and makes it easier to scale what we're doing," said Houlker.

Future plans and broader strategy

The company has indicated plans to further expand its automation use, including deeper integration with Salesforce, extending robotic process automation (RPA), and increasing the reach of document generation to more externally facing business processes. Keith Andrews Trucks anticipates that a broader group of internal champions will drive the next stage of its digital transformation.
